This feature is part of the Customer Communication module and
allows you to inform your client on
the final outcome of the appointment that has been completed on his
vehicle.
The
report includes the following information:
- General information about the
appointment
- Date or mileage when the next
maintenance is required
- Items that were not fixed
- Repair overview – fixed items
- Checked items that work properly
- Customer bill (If added)
Steps to send a repair overview
Step 1
Click on
the Customer Communication button once the status of the appointment is set
to Car Ready.

Step 2
Select
the interventions you want to show the customer in the report by turning the
eye icon on the left side of the intervention green. When the eye icon is
red, the price of that intervention is excluded from the total price
calculation. When you are done, click on Send repair overview.


The repairoverview section 'Checked items working properly', only shows commercial items.
The
repair overview has now been sent to the customer. An envelope icon will
appear in the status icon on the appointments list:

Once the
repair overview has been sent, the Customer Communication button changes and a
PDF button appears. This allows you to download the repair overview.

With the
arrow button on the right side, you can open the repair overview in a new tab
in read-only mode.
Sending an automated repair overview
To save
receptionists time, it is possible to activate the location setting to
automaticly send the repair overview, when:
- The mechanic
marked the car as ready (workorder status Car ready)
- The quality check is done
(workorder status Quality check)
- The workorder status is Car ready & Car out of
shop*
- The workorder status is Car ready & Billed
The
customer needs to have an emailadres or mobile phonenumber.
*Only works if Car out of shop is
set in Claire.In addition, two more settings are available:
- To hide prices on the
automatically sent repair report
- To not send the automated
repairoverview if advised/critical items are found during the quality
check
- To hide the mechanics name in the repairoverview pdf
The automated repair overview will not be send to
internal and lease customers.
